Our company provides retreat experiences and wellbeing services in Greece, the United Kingdom and internationally.

When booking a Find Your Magic Retreats experience, you enter into a contract with Find Your Magic Ltd. These terms and conditions constitute the basis of your contract with us. Please read them carefully as they are legally binding.

Your contract is also subject to The Package Travel and Linked Travel Arrangements Regulations 2018 (the “Package Travel Regulations”), which imply terms into contracts for packages even if not specified in these Booking Conditions or in your booking confirmation.


1. RETREAT CONTRACTS

Our retreat services are, where possible, customised to your requirements and subject to availability. Before confirming a booking, you will receive an email detailing your proposed service. Upon your approval, we will process payment and issue a booking confirmation. Please ensure all names match relevant passports and all details of your retreat are correct.

For all our services, a binding contract is formed when we issue a booking confirmation after receiving cleared funds for either the required deposit or full retreat price, depending on the booking date relative to the departure date.

By booking, you accept the authority to bind all party members to these terms and conditions and take responsibility for payments and receiving documentation on behalf of your party.

2. RETREAT SERVICES

Find Your Magic Retreats offers three types of retreat experience, each designed to meet different needs and group sizes. All retreats are hosted in Crete, Greece, and are facilitated by our team.

Scheduled Group Retreats
Our scheduled retreats are open-enrolment programmes with fixed dates, themes, and facilitation. Guests book individual places on a shared retreat. These retreats bring together people from different backgrounds around a common theme — such as our Find Your Magic Gay Men’s Retreat — and include accommodation, facilitation, meals, and activities as specified in the retreat description.

Bespoke Solo Retreats
A solo retreat is a fully personalised experience designed around you as an individual. We work with you in advance to understand your intentions, needs, and preferences, and build a retreat itinerary — including accommodation, facilitated sessions, and curated experiences — tailored specifically for you. Solo retreats are ideal for those seeking a private, focused reset or personal development journey.

Bespoke Mini-Group Retreats
A mini-group retreat is a private, bespoke retreat designed for a small group of people travelling together — typically friends, colleagues, or an existing community. The entire retreat is exclusive to your group, with accommodation, facilitation, meals, and activities planned around your collective intentions and requirements. Pricing is based on the full group cost, as detailed in your retreat proposal and contract.

To enquire about any of our retreats, please get in touch via our website contact form, email, or telephone. Please note that we may not be able to accept your booking if it conflicts with business reasons, availability, or any applicable laws and regulations.

Retreat Fees
Retreat fees vary by format and are outlined in full in your individual retreat proposal and booking confirmation. All fees include the elements specified in your proposal — typically accommodation, facilitation, and agreed meals and activities. Any items not listed in your proposal are not included in the fee.

A deposit is required to secure your place, with the balance due as per the payment schedule set out in your retreat contract. Full payment terms are detailed in Section 4 of these Booking Conditions.

Our Responsibility to You
We are responsible for delivering the retreat experience as described in your booking confirmation and retreat contract, with reasonable skill and care. If we cause any damage to you intentionally or through negligence in the performance of your retreat, we will compensate you for that damage, provided you notify us within 6 months of the occurrence.

We select all third-party suppliers — including accommodation providers, activity operators, and transport companies — with reasonable care. However, we are not liable for the acts or omissions of those suppliers where they are beyond our reasonable control. Further details on our liability are set out in Section 10.

3. CONSULTATION SERVICES

In addition to our retreat programmes, Find Your Magic Retreats offers bespoke Consultation Services for individuals or third-party organisers who require support with retreat or travel planning. This may include independent retreat facilitators, wellness practitioners, or organisations looking to develop their own retreat offering.

A Consultation Contract with Find Your Magic Retreats is subject to these Booking Conditions. If there is something not covered here, it will be governed by relevant laws and established practices. If we have a special written agreement with you that is more favourable than these terms, that special agreement will take precedence.

What We Offer
A Consultation Contract means we may provide the following services for an agreed fee:

– Personalised Advice: Guidance and recommendations to support your retreat or travel planning.
– Tailored Planning: A detailed retreat or travel plan created specifically for you or your group.
– Cost Estimates: An estimate of the expenses involved in your programme.
– Destination and Logistics Information: Comprehensive information about your chosen destination, including venue options, transportation, and accommodation.
– General Assistance: Any other relevant advice or information related to retreat or travel planning.

To enquire about our Consultation Services, please get in touch via our contact form, email, or telephone. The contract takes effect upon receipt of your payment. Please note that we may not be able to accept your enquiry if it conflicts with business reasons, public order, or any applicable laws and
regulations.

Consultation Fee
The Consultation Fee will be agreed in writing prior to commencement of any work. Payment is required before services are delivered.

Our Responsibility to You
If we cause any damage to you intentionally or through negligence whilst performing the Consultation Contract, we will compensate you for the damage, provided you notify us within 6 months of the occurrence. However, we cannot guarantee that specific arrangements for transportation or accommodation will be available as per your plan, particularly if they are fully booked. In such cases, we are not responsible for any inability to secure those arrangements.

4. PRICE AND PAYMENT

We reserve the right to alter prices shown on our website or in our written proposal at any time before confirming your booking. You will be informed of the current price before booking confirmation. Prices are quoted in EUR based on current daily exchange rates. The price includes taxes, additional fees, charges, and other costs where applicable. If any costs cannot be calculated in advance, we will provide an estimate at the time of booking.

All payments via debit or credit card will be in EUR. If your card is not denominated in EUR, the final price will be based on the applicable exchange rate on the day your card issuer processes the transaction. To avoid this, we accept payment in GBP, EUR, and USD by bank transfer, specifying the exact amount required.

A deposit is required to make a booking, with the balance due as per the terms stated in your booking confirmation or retreat contract. For bookings made less than 4 weeks before departure, the full retreat price is payable at booking. If the balance remains unpaid by the due date, we may treat your booking as cancelled, applying cancellation charges as set out in Section 7.

Payments must be made in the currency of the invoice, with you responsible for any bank charges incurred. Payments can be made by bank transfer. A booking is confirmed only upon receipt of cleared funds.

4. INSURANCE

Booking with Find Your Magic Retreats requires comprehensive travel insurance covering before, during, and after your trip. Coverage should include, but not be limited to: illness, injury, property damage, loss of personal items, death, cancellation, and any other potential losses, damages, expenses, and/or liabilities. We are not responsible for costs incurred due to insufficient travel insurance. You will not be permitted to travel on the Retreat without providing proof of travel insurance.

5. PASSPORTS, VISAS, AND HEALTH FORMALITIES

Passports must be valid for at least 6 months after your return. Ensuring possession of necessary travel documents/visas and compliance with health formalities is your responsibility. We accept no liability for denied entry due to incorrect documentation or health formalities.

If you or any party member has a disability, reduced mobility, or medical condition, inform us before booking to ensure the travel experience is appropriate and safe, and to make necessary arrangements. Health and mobility information will be used to advise on your booking and shared with suppliers in accordance with our Privacy Policy.

6. INFORMATION

We strive to ensure our website’s information is accurate and up-to-date. However, details published months in advance may change. We reserve the right to update our website at any time. Specific retreat details will be confirmed in your booking confirmation. For changes after confirmation, see the relevant section below.

7. AMENDMENTS, TRANSFERS, AND CANCELLATION BY YOU

To amend or cancel your booking, email hello@findyourmagicretreats.com. Requests take effect upon receipt.

Amendments
If you wish to change your travel arrangements after booking confirmation, we will assist you, but amendments are not guaranteed. Requests must be made in writing by the booking person. If we cannot make the amendments and you cancel, cancellation charges apply as per the terms below.
Transfers

You may transfer your booking to another person meeting the retreat contract conditions with at least 7 days’ written notice. Additional fees, charges, or costs will be passed on to you. Both you and the transferee are liable for payment of the balance and additional costs.

Cancellations — General
You or any party member may cancel travel arrangements before the retreat start date by written notification. Cancellation charges represent reasonable termination costs based on timing and potential cost savings from alternative bookings.

Cancellation charges will not apply if you cancel due to Unavoidable and Extraordinary Circumstances directly affecting the retreat’s performance or transport. In such cases, you are entitled to a full refund but no additional compensation.

Cancellation Terms — Scheduled Group Retreats
The following refund schedule applies to our scheduled, open-enrolment group retreats:
– More than 90 days before the retreat start date: 100% refund of all payments made.
– Between 90 and 30 days before the retreat start date: 50% refund of all payments made.
– Less than 30 days before the retreat start date: No refund.

Cancellation Terms — Bespoke Solo Retreats
The following refund schedule applies to individually tailored solo retreat bookings:
– More than 8 weeks (56 days) before the retreat start date: 100% refund of all payments made.
– Between 8 weeks and 4 weeks (56–28 days) before the retreat start date: 50% refund of all payments made.
– Less than 4 weeks (28 days) before the retreat start date: No refund.

Cancellation Terms — Bespoke Mini-Group Retreats
Mini-group retreats are designed and priced for your private group. The total cost covers the villa, facilitation, food, and shared activities for the whole group. The following applies in the event of individual or group cancellation:

Individual cancellations: The overall retreat cost remains due, as accommodation and facilitation costs stay the same. We will adjust food and activity costs for the cancelled person wherever possible and deduct those from the total balance. The group is collectively responsible for the total retreat cost, whether the remaining participants cover the difference and/or the cancelling person honours their share of the payment. The group may choose to go ahead with fewer guests or find a replacement.

Full group cancellation refund schedule:
– More than 8 weeks (56 days) before the retreat start date: Refund of all payments minus 25% of the deposit to cover admin and pre-booked costs.
– Between 8 and 4 weeks (56–28 days) before the retreat start date: 50% of the total retreat cost is non-refundable.
– Less than 4 weeks (28 days) before the retreat start date: No refunds are possible, as all arrangements will have been confirmed.

Cancellation — Force Majeure
Neither party shall be held liable for any failure or delay in performing obligations caused by events beyond their reasonable control, including but not limited to fire, floods, earthquakes, government actions, embargoes, war, acts of war, insurrections, riots, strikes, lockouts, other labour disturbances, or acts of God. The affected party shall use reasonable efforts to mitigate the impact. Prompt written notice must be provided.

In the case of Force Majeure, you will have the option to either move your booking to the next available retreat date, or receive a full refund of the deposit and any other payments made toward the total fees.

8. AMENDMENTS AND CANCELLATION BY US

Amendments Before Departure
We may need to make changes to your proposed retreat and will inform you of significant changes before issuing the booking confirmation. Minor changes will be communicated. If circumstances force significant changes before the retreat starts, we will notify you. You may accept the changes, terminate the contract without paying a cancellation charge, or accept a substitute retreat.

Cancellation by Us
We reserve the right to cancel your retreat, offering alternative arrangements of comparable quality. If only a lower quality option is available, we will provide a price reduction. If no alternative is available, we will provide a full refund. Compensation applies unless prevented by Unavoidable and Extraordinary Circumstances or insufficient participants, with timely notice given.

Unavoidable and Extraordinary Circumstances
Situations beyond control, unavoidable even with reasonable measures, such as war, airport closures, political instability, terrorism, natural disasters, and significant health risks.

Travel Delays
You may claim compensation from your airline under Regulation (EC) 261/2004 for delays, cancellations, or overbooking.

9. PERFORMANCE OF PACKAGE

We are liable for the travel services in your package contract. Notify us of any lack of conformity during the retreat for timely resolution. If a significant portion of your retreat cannot be provided, we will offer alternatives at no extra cost. If alternatives are lower quality, you are entitled to a price reduction. Rejecting inadequate alternatives entitles you to a price reduction or compensation.

10. OUR LIABILITY TO YOU: PRICE REDUCTION AND COMPENSATION FOR DAMAGES

We will compensate for failure to perform or improper performance of your retreat package contract. You are entitled to a price reduction for any lack of conformity, except if attributable to you, a third party unconnected with the travel services, or Unavoidable and Extraordinary Circumstances.

Our compensation liability is limited to three times the total package price, except for cases involving death, illness, injury, intentional or negligent damage, or where liability cannot be limited by law. We have no liability for indirect losses like business or profit loss.

Our liability is also limited under international conventions (e.g., Montreal, Berne, Athens Conventions). Copies are available upon request.

Compensation under the Package Travel Regulations does not affect your rights under EU passenger rights legislation. We will deduct amounts to avoid overcompensation if compensated under both.

11. ASSISTANCE

Whether or not we are liable for compensation, we will assist you without undue delay if you encounter difficulties, providing information on health services, local authorities, consular assistance, communication help, and alternative travel arrangements. We may charge a reasonable fee if difficulties are caused by you intentionally or through negligence.

12. IF YOU HAVE A COMPLAINT

Inform our representatives or relevant suppliers immediately of any lack of conformity during your retreat. If unresolved, contact us for resolution. If still unresolved upon return, write to us within 28 days, including booking reference and details. Not following this procedure may affect your rights under this contract.

13. SPECIAL REQUESTS

We will try to comply with special requests (e.g., dietary requirements, specific rooms) and pass them to suppliers but cannot guarantee compliance or liability for unmet requests.

14. EXCURSIONS AND ACTIVITIES

Excursions and activities booked in advance as part of your retreat and detailed in your booking confirmation form part of the package contract. We select suppliers with reasonable skill and care. Excursions/activities purchased from local suppliers during your retreat do not form part of your contract with us, and we are not liable for their performance.

15. DATA PROTECTION

We need personal information to process and fulfil your booking. Find Your Magic Ltd is the data controller under the General Data Protection Regulation 2016/679 and the Data Protection Act 2018. We may need additional details to ensure your retreat meets your needs. We will ask for explicit consent to collect and share this information with suppliers.

We may share your information with relevant suppliers and public authorities, including those outside the EEA, ensuring adequate safeguards. Please see our Privacy Policy for details.

16. JURISDICTION

This contract is governed by English law and subject to the jurisdiction of English courts. You may choose the law and jurisdiction of Scotland or Northern Ireland if preferred.

17. DOCUMENTATION

We will send final retreat information approximately 2 weeks before departure by email.
